Job description:
You will be responsible for executing all needed operational tasks related to vessels calling several ports as per her sailing schedule. The role involves managing vessel operations, stowage planning, scheduling, cost control, and performance monitoring, with a focus on efficiency and reliability. You will also coordinate with other local operations teams in different ports, maintaining "Ownership" of vessels under their responsibility.
Key Responsibilities:
Local Port Operations
- Oversee all operational activities for vessels at the ports.
- Utilize the local Port Community system for vessel notifications, waste notifications, IMDG management, and repair requests.
- Manage vessel clearance processes and liaise with customs, agents, terminals, and shipping lines.
- Monitor vessel requirements, including sludge disposal, garbage handling, bunkering, freshwater supply, cash deliveries, repairs, and crew changes.
- Coordinate reporting and verification of IMDG cargo for discharge, transit, and loading.
- Communicate ISPS information to terminals and vessels.
Ship/Vessel Planning (Global Operations)
- Prepare and adjust stowage plans based on cargo changes; manage discharge/loading lists for terminals and vessels.
- Provide updates on vessel schedules (ETA, closing, ETS) and notify relevant departments of any delays or missing units.
- Review pre-plans for accuracy regarding IMDG cargo, plug-in units, out-of-gauge (OOG) cargo, and additional bookings.
- Resolve issues during terminal operations, including IT problems, delays, or incorrect bookings.
- Monitor bunker consumption between ports and provide speed instructions to optimize fuel efficiency.
- Collaborate with stakeholders to update and maintain vessel sailing schedules, including berthing prospects, repairs, and operating times.
- Assist and coordinate dry-dockings with the Nav-Tech department.
- Monitor and control port costs; ensure timely communication and resolution of terminal operational changes.
- Input IMDG stowage positions for discharge, transit, and loading.
Quay Planning & Vessel Management
- Coordinate with the terminal to secure berthing slots and monitor terminal operations.
- Maintain communication with local terminals, suppliers, and port authorities.
- Arrange vessel lay-bys for repairs and maintenance.
- Manage interactions with port authorities regarding schedules, PEC, IMDG requirements, and discounts/agreements.
Statistics, Archive & Invoicing
- Verify voyage reports and update vessel/terminal statistics.
- Review and process invoices from suppliers and port service providers (e.g., pilots, tugs, waste disposal).
- Ensure accuracy in invoicing and cost management.
Computer Systems & Tools
- Operate local Port Community systems for vessel notifications, IMDG management, and other port-related services.
- Use internal systems such as GOS, MySamskip/Odyssey, and vessel monitoring tools.
- Leverage Microsoft Office applications for reporting, documentation, and communication.
- Coordinate with terminal web portals and IMDG web-based systems.
Qualifications:
- Experience in vessel operations, maritime logistics, or a related field.
- Familiarity with Port Community systems, vessel planning, and cargo handling.
- Strong organizational skills with the ability to multitask and manage time effectively.
- Knowledge of IMDG regulations, bunker management, and terminal operations.
- Proficient in MS Office (Excel, Word, Outlook) and vessel monitoring software.
- Excellent communication skills for coordination with internal teams and external stakeholders, advanced English level skills.
- Willingness to be flexible and available outside of standard working hours as needed.
